Nite Owls is committed to protecting your privacy. This policy explains what personal information we collect through our website, why we collect it, how we look after it, and the rights you have. We keep things simple and we never sell your information.

This website is operated by Night Owls Limited, which trades as Nite Owls. We provide live owl visits to schools, and free resources for teachers. For the information we collect through this website, Night Owls Limited is the data controller.

2. The personal information we collect
We only collect the information you choose to give us. The main way you share information with us is when you make a booking enquiry. Our free teacher resources can be downloaded straight from the website without giving us any details.
When you make a booking enquiry, we collect your name, your school or organisation, your email address, and, if you provide them, your telephone number, the year group or age of the children, the approximate number of children, your preferred dates, whether there is parking on site, and any message you add.
Technical information. When you submit a form, our systems may record limited technical information such as your IP address. We use this only to keep the website secure and working properly.
We do not ask for, and you should not send us, any sensitive personal information through this website.
3. How and why we use your information
To respond to your enquiry and arrange a visit. Our lawful basis is that this processing is necessary to take steps at your request, together with our legitimate interest in responding to people who contact us.

4. Marketing
We will only send you marketing emails if you have actively opted in by ticking the optional box on our enquiry form. This is separate from your enquiry, and you do not have to opt in to contact us.
If you do opt in, you can change your mind at any time. Every marketing email contains an unsubscribe link, or you can simply email us at erika-niteowls@live.co.uk and we will remove you.
5. Cookies and analytics
We keep cookies to a minimum and we do not use cookies that track you across other websites. If we use website analytics, we use a privacy-friendly, cookieless tool that does not identify you personally and does not require a cookie banner.
6. Who we share your information with
We do not sell your information and we do not share it with third parties for their own marketing. To run the website and respond to you, we use a small number of trusted suppliers who process information on our behalf and only on our instructions. These are:
- our website hosting provider, which stores the website and the messages submitted through it
- our form delivery provider, Web3Forms, which delivers your enquiry to us by email
We may also disclose information if we are required to do so by law, or to establish, exercise or defend our legal rights.
7. Storing your information and how long we keep it
Your form submissions are delivered to us by email and stored securely. We keep your information only for as long as we need it.
- Booking enquiries: kept while we arrange your visit and for our reasonable record keeping afterwards, then deleted.
- Marketing contacts: kept until you unsubscribe or ask us to remove you.
8. Keeping your information secure
We take appropriate measures to protect your information against loss, misuse and unauthorised access. Access to the information you send us is limited to Erika and anyone who genuinely needs it to arrange your visit. No method of transmission over the internet is completely secure, but we work to protect your information and to keep our systems up to date.
9. Sending information outside the UK
We aim to keep your information within the UK. Where one of our suppliers processes information outside the UK, we make sure that appropriate safeguards are in place so your information receives a similar level of protection.
10. Children’s privacy
This website is intended for adults, such as teachers, school staff and group leaders, who arrange visits and download resources. It is not aimed at children, and children should not submit personal information through our forms. Any information about children is handled only in the context of a school visit, and only with the agreement of the school. Please see the section below about photographs.
11. Photographs taken during school visits
Where photographs are taken during a visit, this only happens with the permission of the school and the teachers present. Photographs are handled under a separate data processing agreement that we provide to the school. In summary: we do not store the personal details of the children or staff in the photographs, each image is given a code that links it only to a school, images are processed by a professional photographic laboratory and returned to the school through an independent courier, and any copies we hold are kept for around one term and then destroyed. We do not use these images for marketing, and we only share them if we are legally required to do so.
12. Your rights
Under data protection law, you have the following rights:
- the right to ask for a copy of the information we hold about you
- the right to ask us to correct information that is wrong or incomplete
- the right to ask us to delete your information
- the right to ask us to restrict or to object to how we use your information
- the right to ask us to transfer your information to another organisation
- the right to withdraw your consent at any time, where we rely on consent
To exercise any of these rights, please contact Erika at erika-niteowls@live.co.uk. We will respond within the time allowed by law, normally within one month. Exercising your rights is free of charge.
13. How to complain
If you have a concern about how we handle your information, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.
